Title Insurance and Settlement Best Practices



After receiving a new title order, our Title Abstractor searches the records in our office and in the Office of the Judge of Probate of Baldwin County, Alabama. Working under the direction and supervision of Ken Heard, our Title Abstractor prepares a title summary containing, among other things, a proper legal description, exceptions to title, and requirements needed for Irby & Heard, P.C., to issue a title commitment as agent for Commonwealth Land Title Insurance Company. Once the title summary is prepared, the order is forwarded to Susan Adams who serves as Title Assistant to Ken Heard. Susan Adams is responsible for preparing the Commitment and proofing the information contained in the title commitment.

After the title work and title commitment have been reviewed and approved by Ken Heard, the file is forwarded to one of our closing coordinators for preparation for closing.

Our closing coordinator, Colette Krob, acting under the direction and supervision of Ken Heard, is responsible for day-to-day operations including communicating with lenders, realtors and clients and handles most of the closings.

After a closing has taken place, the file is forwarded to the Post Closing Coordinator who is responsible for sending documents which need to be recorded to the Judge of Probate, as well as sending payoffs to lenders and preparing closing packages for all parties involved including, buyers, sellers, lenders and brokers.

Once the post-closing process is completed, the file is returned to Susan Adams. Once all of the requirements of the title commitment have been met and the title policy is issuable, Susan Adams works with Ken Heard to prepare a title policy and will send out the title policies to the appropriate parties.
